Regular clients: dialysis and rehab as the backbone of the week

Look at your report and see who travels most often. It will almost certainly not be the largest group of customers, but a handful of people on dialysis, rehabilitation or oncology — travelling two or three times a week, for months, at the same times.
For an operation that is good news: regularity can be planned.
Write them out separately
Make a plain list: name, days of the week, time out, time back, destination. It fits on half a page and it is the most valuable document you have about your own service. You will see straight away:
- which days are booked before the phone even rings,
- whether two customers travel to the same place at the same time,
- when you cannot afford a service booking or the driver's holiday.
Enter them in advance, not the day before
For regular rides there is no point waiting for the phone call. Agree the whole cycle with the customer (or the family) and enter the rides ahead — a month at a time is fine. The dispatcher then deals only with changes rather than with the whole booking again.
The application cannot yet create "every Monday, Wednesday and Friday" with one button; recurring rides are on the list of things we want to add. Until then, the one-click return trip and booking ahead do most of the work.
Customer notes pay off most here
For somebody you drive three times a week, every second is multiplied. Write down what repeats: which door they come out of, how long boarding takes, who usually rings on their behalf, how long the procedure lasts. A new driver then does not have to find out all over again.
Plan for the failures, because they will come
A dialysis patient cannot "come tomorrow instead". When a car or a driver fails, these are the rides that must run first. Have two things ready: a phone number for cover (a colleague, a neighbouring village) and a way to tell the customer early, rather than at the moment they are standing in the doorway.
And one thing for the council meeting
Regular clients are the strongest argument that the service makes sense. These are not outings — this is the transport without which somebody does not reach treatment. In the report it shows as the same name and the same destination repeating, which is exactly what the funder needs to see.
Regulars show up in ride history by repetition; customer notes are also visible to the driver on each ride.
