Price lists per area and rate history: why it matters

Taxi companies and senior transport services change their prices over time — fuel goes up, the contract with the council is revised. It looks like a detail, yet it can tangle a settlement badly if the system does not handle it properly.
The problem: rewritten history
Imagine you charge one rate per kilometre in March and a higher one from April. If in May you open the March report and the system recalculates every March ride at the current rate, the figures suddenly do not match what you settled at the time. The auditor asks questions, the council disagrees — and you go looking for a mistake that was never there.
The fix: the price is stored with the ride
Done properly, the price is calculated at the moment of the ride and saved with it. A later change to the price list does not touch past rides. The March report therefore shows March prices for ever, and the April report shows April prices. History stays true to reality.
Rates per area
If you operate across several areas with different prices (a town and the surrounding villages, say), it helps to have a price list per area. Each ride is then calculated at its own area's rate and reports can be split by area — which is particularly welcome for councils that watch their own budget separately.
What to think about in a price list
- Valid from a date. Enter a new rate with the date it takes effect
— do not overwrite the old one.
- A minimum fare and minimum billable distance. For short rides a
lower bound makes the pickup worthwhile.
- A separate pickup fee. A flat fee per ride plus a rate per
kilometre is clearer than a single number.
