How to choose a dispatch system for a small taxi company

There are plenty of dispatch systems and most of them are aimed at large fleets. For two or three cars you do not need extensive software with a week of training — you need something that takes work off your hands straight away. Here is what to focus on.
1. Can you get it running without an IT person?
The most important question for a small operation. A good dispatch system runs in the browser and drivers only need an ordinary phone — no app-store install, no special hardware, no server of your own. If you need a technician just to get started, it does not make sense for a small service.
2. Can a non-technical person operate it?
The dispatcher is often somebody who does not normally work with computers. The interface should be simple and the help written for complete beginners. Try it out for real — you can tell within minutes whether the system is clear at first glance.
3. Do you pay per car, or a flat fee?
With some systems the cost grows with every driver. For a small service a fixed monthly price regardless of the number of cars and dispatchers is fairer — you know what you are paying and adding a driver in season does not cost you anything extra.
4. What happens when the signal drops out?
Drivers go through tunnels and out-of-signal areas every day. Find out what the application does then: it should notice, say so, and reconnect and catch up on data by itself once the signal returns — without a ride in progress being lost.
5. Can you get your data out?
Ask about the export before you sign up, not after. Your customers, rides and price lists are yours. A good system lets you download everything in a machine-readable format at any time, even after the subscription ends — with no need to ask.
6. Do you need the extras at all?
Caller identification, a live vehicle map, a chat with drivers, monthly reports — each of these saves real time, but only when you actually use it. Go through your day and ask what takes you the longest. If it is looking up who is calling, caller identification will pay for itself straight away. If it is putting the monthly report together by hand, look for a system that produces it in one click.
