Your customer list: getting it in without typing it out

When a taxi firm takes on a dispatch system, the first question is not "how do I create a ride". It is: how do I get the people we drive in here? And because it is the first step, it tends to be done the hardest way — by hand, one contact after another, alphabetically.
At that pace you manage about a hundred names an hour. With a thousand contacts that is a full working day nobody is paying for.
First: what belongs in the list at all
This matters more than the method. Your customer list is not the whole phone book from a mobile. The garage, the family, a friend from football have no business being there — they will only pop up in every search and spoil the name suggestions.
What belongs there are the people you drive, or are going to drive. In senior transport that is fifty to three hundred names, not two thousand.
It is worth doing once, properly: go through the contacts, pick out the clients, and leave the rest in the phone.
How to upload them in one go
In Viacurso there is Customers → ⬆ Import from spreadsheet. It has three steps and nothing is written until you confirm it:
- Download the template — an ordinary spreadsheet with the right columns and an instructions sheet.
- Fill in the rows. Only the name is required. Phone, home address, note, monthly limit and pass number are optional — they can be added at any time later.
- Upload the file and you get a preview: what will go in, what has an error and why (missing name, duplicate phone). Only after you confirm is everything written at once.
Duplicate numbers are reported rather than silently skipped — so one person does not end up in the list twice.
Phone contacts into a spreadsheet
Most phones can export contacts (a .vcf file, or CSV directly). Open that file in a spreadsheet editor, delete the rows that are not customers, and copy the rest into our template — two columns, done.
If that sounds like a chore, send us the file and we will prepare the template for you. It is ten minutes of work and far better than a day of retyping.
You do not need it all at once
A common mistake is waiting until the list is "complete". There is no need.
- A ride can be created for a customer who is not in the list — the dispatcher types a name or a phone number and is offered + New customer. The contact is created along with the ride.
- Addresses, notes and limits get filled in as you go. Most of them will only occur to you once something happens with that person ("waits at the back entrance", "orthopaedics always takes 40 minutes").
So start with your twenty most frequent clients and let the rest grow by itself.
And one request at the end
Before uploading anything large, download a copy of your data (My account → Your data). If the import does not turn out the way you imagined, customers with no rides can be deleted in bulk (Customers → 🗑 Delete customers with no rides) and you can start again — but it is more relaxing with a copy in hand.
