Taxi dispatch without paper: what actually changes in a day

"We manage fine with a notebook" is a perfectly reasonable position. A notebook never crashes and needs no training. The question is what it costs you elsewhere — and where a dispatch system genuinely helps.

The phone rings

With a notebook: you ask who is calling, where they are going, and whether they have travelled with you before. You look the customer up. Sometimes you find them, sometimes they are on the previous page.

With a dispatch system: the customer's name appears by their phone number, along with their usual addresses, notes ("walking frame, needs help boarding") and how many rides they have had this month. You create the ride while still on the call.

Assigning a ride to a driver

With a notebook: you call around to find out who is where and who is free.

With a dispatch system: you see the rides in progress and the position of the vehicles on one screen. The driver gets the ride on their phone and confirms it with one tap. Nobody has to be called.

The end of the month

With a notebook: you piece the report together from scraps of paper. It takes an evening and you check the totals twice.

With a dispatch system: you choose the month and click. The report comes out as a PDF and a spreadsheet, with totals included.

What it will not solve

Let us be honest about this too:

It will not get you more customers. It saves work; marketing is a

different job.

It will not fix a badly set price list. If your rates do not

cover your costs, the system will simply calculate the loss more accurately.

It will not replace knowing your patch. Which street is closed and

which client needs an extra five minutes — that stays with the dispatcher.

Where to start

Do not start with the features. Start with the question of what takes you longest during a shift. If the answer is "looking up who is calling" or "putting the report together", it is worth trying. A trial period with your own data will tell you more in a week than any feature list.
