Cover for the operation: what if the dispatcher or the driver falls ill

In a small taxi company or a municipal senior transport service, the operation is often held together by one or two people. It works beautifully — until somebody falls ill. Then comes the question that is much better answered in advance: does anybody else know what needs driving today?
Where paper is weak
When the bookings are in one dispatcher's notebook and that dispatcher is off sick, the operation stalls. Who has the notebook? Does the person covering know who needs a ride today and where to? Paper in one drawer on one desk does not solve this — the information is locked up with a single person.
What makes cover possible
- Access from anywhere. When the operation runs in a browser, the
person covering signs in from another computer or from home and sees immediately what needs doing. They are not tied to one particular machine in the office.
- A shared picture. Bookings, ride statuses and customer contacts
are in one place, not in one person's head.
- Simple controls. The simpler the system, the easier it is to take
over. Help written for beginners serves the person who is not in the application every day.
- Roles and passwords. Everybody has their own access; when somebody
leaves or is off long-term, their account is switched off without affecting anyone else.
Cover on the drivers' side
The same goes for drivers. When rides arrive in an application on the phone, another driver can step in — they sign in and see their rides exactly like the person they are replacing. No handing over paper, no "hang on, let me read it out to you".
A small thing, a lot of calm
Nobody thinks about cover until they need it — and by then it is too late. But when the operation runs on a system reachable from anywhere with clear roles, one person's illness does not mean a stopped service. Your customers will not notice a thing, which is precisely the point.
